With Resource Management you can manage your drivers, guides and other resources. The resources can be applied to experiences in the experience editor and assigned to departures in the Booking Calendar

With resource management you can:

  • Keep track of your resources, both drivers, guides and vehicles. 
  • Assign resources to experiences, e.g. kayaks to kayaking tours and french speaking guides to private tours.
  • Assign resources to each departure and get a good overview of your day-by-day operation.

Note that it's not possible to use Resource Management on Combo-products. 

You can locate the resource management overview under Products > Resource Management.

Adding new resources

In the overview you have a list of your current resources and you can add new ones by clicking the blue "add resource" button in the top right corner.

When adding a resource you must enter a title and a resource type. The title can be whatever you please, e.g. the name of the driver/guide, the name of the vehicle, the registration number of the vehicle, etc.

The resource type is then the type of resource, e.g. English speaking guide, Spanish speaking driver, Minibus, Jeep, 2 person ATV, etc. 

Apply resource types to experiences

To apply resource types to experiences navigate to Products > Experiences. From there, click on an experience to open the experience editor.

Locate "resources" in the left hand side menu. Then you determine how many Resource Types (guides, drivers, vehicles etc.) each departure of this experience will need. To apply a new resource, click the "+ add resource type."

Choose a resource from the dropdown menu, choose the quantity needed and the cool down minutes. Cool down is the time the resource needs to rest / prepare before going on another departure, e.g. if a guide needs a 60 minute break before going on another departure, you input 60. Remember to click "save and continue."

Assigning resources to departures

To assign resources to departures navigate to Bookings > Booking calendar. From there, click on a departure to open the menu.

Click on "+ assign" to assign a resource to that departure. You can choose it from the dropdown that appears. You can also edit your resources by clicking the "+ edit resources" button.

Once resources have been assigned they appear like in the photo. You can remove the resource and replace it by clicking the red garbage bin on the right hand side.

Once resources have been added to a departure and you click to open another departure, you can see a message in red indicating that the resource is already in use. This prevents you from double-assigning resources.

Date only resources

Some experiences have departures that are "just date, no time", so departures are per date, not per start time and date. These experiences appear at the top of the booking calendar.

When a resource has been assigned to a "date only" departure, the message in red reads "in date only" meaning that the resource has been assigned to a "date only" departure.
